Position: Administrative Assistant/Clerk - Full-time Permanent
Salary Range: $18.87-$20.76
Location: Child Care Centre
Report to: Manager, Child Care Centre

POSITION SUMMARY
The Administrative Assistant/Finance Clerk is responsible to maintain accurate financial and program records for the Garden River First Nation Child Care Centre according to policies and procedures approved by the Ministry of Community and Social Services and the Garden River First Nation.
The Administrative Assistant/Finance Clerk works within legislative requirements, regulations, policies and procedures and the Mission, Beliefs and Vision of the Garden River First Nation, and contributes to the accomplishment of the strategic priorities.
 
DUTIES
- Organizing and maintaining up to date filing system
- Performing general duties including answering and transferring all incoming calls, faxing, copying, distributing mail, recording, and forwarding messages and childcare inquiries
- Receiving/preparing, sorting, and coding disbursement vouchers, securing necessary authorization, verifying accuracy of computations, and attaching backup documentation (if applicable (purchase order, packing slips)
- Assisting with preparation of reports to stakeholders i.e., Chief and Counsel, Community, Funding Sources
- Regularly monitoring and reviewing to ensure data is accurately recorded into the SAGE 300 (ACCPAC) system, requesting changes in SAGE 300 (ACCPAC) if incorrect and assessing the SAGE 300 (ACCPAC)
- Maintaining the chart of accounts by adding, modifying, or deleting account codes
- Monitoring, recording, and balancing each budget to ensure they balance within funding guidelines
- Mailing, hand delivering or sending by courier, cheques to vendors and employees
- Safekeeping valuable instruments such as accountability of numerical cheques, petty cash, or visa credit cards
- Write, record and issue PO’s
- Prepare and modify documents including correspondence, expense claims, reports, drafts, memos, briefing notes, power point, timesheets, and emails

 

Required Skills:
QUALIFICATIONS
- Required one-year college diploma in related field
- Preferred one-year related experience in general office practice and procedures and financial training
- Related skills including CPR and WHMIS
- Ability to use good judgement in assessing difficult situations
- Flexibility required to keep pace with an ever-changing environment
- Demonstrated sensitivity to and knowledge of the First Nation cultural values and traditions
- Ability to be consistent and display a positive/helpful attitude
- Willingness to accept changes in work practices and technology
- Ability to work under pressure to meet deadlines
- Ability to work independently and collaboratively as a member of a team
- Excellent organizational skills, time management skills, interpersonal and communication skills, both oral and written
- Excellent computer skills (including MS Word, Excel, Internet, Email/Outlook)
- Ability to report for work as scheduled
- Must undergo a criminal record check with vulnerable sector prior to employment (At Applicants’ Expense)
