Job Description:
4 MONTH CONTRACT
EXECUTIVE ASSISTANT - Biidaaban Kinoomaagegamik School
Salary Range: $25.00 - $35.00/Hour (based on experience)
JOB SUMMARY:
The Executive Assistant will provide efficient, consistent, confidential, and professional support to the Principal of Biidaaban Kinoomaagegamik School; performs day to day administrative and operational tasks, while exercising discretion and independent judgment.
They will be responsible for ensuring critical administrative, operational processes and control standards are met, while seeking to determine, develop, and participate in implementation of improvement opportunities.
POSITION DUTIES:
Administrative & Financial Support
- Provides senior-level administrative support including handling matters that are exceedingly sensitive and highly confidential.
- Prepares proofread correspondence, documents, materials, reports, forms, agendas, records minutes of all meetings as required and distributes appropriately.
- Responds to written and verbal enquiries from both internal and external contacts regarding practice, policy, and administrative procedures, including receiving complaints from parents and the public.
- Establishes timelines, deadlines, and completion of tasks to ensure completion of a variety of annual and ad-hoc projects with minimal supervision.
- Ensures positive communications and favorable relations between all levels of the organization, students, parents, and members of the public.
- Maintain a harmonious and motivational working environment for all staff and visitors within the school environment.
- Maintain an inventory of all office supplies and school equipment and assist in the preparation of supply orders for supply replacement.
- Operate and demonstrate operation procedures of all office equipment and machines.
- Maintains and secures all confidential personnel information, assists in managing clerical record-keeping and data information systems, and organizes and prepares information and documentation for all human resources processes.
- Assist with supporting that the school practices are compliant in accordance with both the Biidaaban Kinoomaagegamik Policy and Procedures and the Sagamok Anishnawbek Personnel Policy and Procedures.
- Timely processing and reconciliation of cheque requisitions and purchase orders, ensuring accuracy, completeness, and proper authorizations for payment approval or cancellation.
- Manage travel and accommodation arrangements.
- Maintain knowledge of Sagamok's current administrative and financial policies and procedures.
- Additional related duties as assigned.

Required Skills:
QUALIFICATIONS:
- Post secondary diploma/degree in Business Administration, or a related field preferred.
- A minimum of two (2) years' experience working in a similar role.
- A comprehensive understanding of First Nation concerns and First Nations education
- Must have excellent computer skills - Excel, Word, Access, PowerPoint, etc.
- Knowledge of the Quality Assurance System/Quality Management Process
- Knowledge of the Community Development Process.
- Ojibway language, knowledge and appreciation of Native Culture and Heritage are considered definite assets.
- Post secondary diploma/degree in Business Administration, or a related field preferred.
- A minimum of two (2) years' experience working in a similar role.
- A comprehensive understanding of First Nation concerns and First Nations education
- Must have excellent computer skills - Excel, Word, Access, PowerPoint, etc.
- Knowledge of the Quality Assurance System/Quality Management Process
- Knowledge of the Community Development Process.
- Ojibway language, knowledge and appreciation of Native Culture and Heritage are considered definite assets.

- Must provide a negative Criminal Records Check (CPIC) that is valid within 6 months.
- Maintain strict confidentiality in accordance with policies established by Sagamok Anishnawbek.
- Must have a valid Ontario driver's License and have access to a vehicle for on the job use with appropriate liability insurance.
- Hold or willing to secure, CPR and First Aid Certificate.
- A team player with strong interpersonal skills including ability to resolve conflicts, diplomacy, achieve consensus and able to work comfortably with internal staff.
- Strong written and verbal communication skills.
