Job Description:
PURPOSE AND SCOPE:
The Executive Assistant is responsible for providing high-level executive support and results-oriented service to the Political Office. Working in a team environment, the Executive Assistant is accountable for the efficient operation and administration of the Serpent River First Nation Political Office, providing a well-organized and effective working environment. The utmost responsibility of this position is to maintain a high and strict rule of
\"Confidentiality\" on all information coming through this office and maintain a high confidential environment where communications often concern complex, sensitive and urgent matters.
Position Duties
- Preparation and distribution of electronic and paper-based correspondence, reports, statements, brochures, publications, presentation and other documents
- Drafting, work-processing, editing, proofreading and finalizing
- Council meeting agenda preparation, minute taking and processing, preparing Council meeting packages.
- Reviewing and summarizing miscellaneous reports and documents and preparing background documents as necessary
- Tracks and follows up on issues referred by the Chief and Council and the Director of Operations.
- Keeping informed of the Chief's appointments,
- Preparing and distributing agenda and related documents
- Communicating with participants and speakers
- Creating and maintaining manual and computerized information filing systems for
- minutes, notes, tapes and summaries of meetings; decisions, resolutions,
- directions and correspondence; reports, forms, policies and other documentation
- Ensuring confidentiality and safety of files
- Following policies and procedures
- Other duties as assigned by the Chief and Council and Director of Operation

Required Skills:
- Ontario Secondary School Diploma (Grade 12) minimum
- Certificate or diploma in Business Administration or equivalent combination of education and experience
- Minimum of two years progressively responsible secretarial/administrative experience
- At least three years in an executive office preferably in a First Nation setting
- Extensive experience providing administrative support to a senior executive
- Extensive experience in handling/securing confidential and sensitive materials
- Experience in advanced keyboarding, word processing, and other computer applications such as PowerPoint, spreadsheets, internet;
- Valid Ontario Driver's Licence and willing to travel
- First Aid and CPR Certification
- Must provide a clear criminal reference check
- Vulnerable Sector check required
- Good organizational skills.
- WHMIS certification or ability to obtain within the first three months of employment.
- Developed interpersonal skills and the ability to effectively work with the general public management and employees.
- Be able to work overtime to meet deadlines and/or emergency situations
- Proficiency with Excel, computer software and office equipment
- Ability to work as a team in a fast paced environment
- Must provide proof of COVID vaccination (two doses)
- Knowledge of Ojibway culture
- Knowledge of the 7 grandfather teachings
- Certificate or diploma in Business Administration or equivalent combination of education and experience
